How it works

How DocMind AI explains your documents

One upload runs a full pipeline: reading the file, detecting what kind of document it is, writing a structured explanation and opening a chat that answers from your file.

1

Upload

Add up to 10 files at once. Choose one of four reading modes and one of 15 languages for the explanation.

2

Analyze

Each file is read, classified and explained. Results appear one by one with a live progress bar.

3

Ask

Open any result to see the full analysis and ask follow-up questions in the document chat.

Step 1: the file is stored and read

When you press Analyze, your files are uploaded and saved first, so the page responds straight away. Then each file is processed one after another. Processing files in sequence keeps the AI service within its rate limits and lets you watch the progress for each document.

How the text is read depends on the format:

  • PDF files: the text layer is extracted where one exists, and the PDF itself is also passed to the AI model so scanned pages can be read.
  • Photos and images (JPG, PNG, WEBP, GIF, HEIC): the image is passed to the AI model, which reads the printed or typed text in it.
  • Word, PowerPoint and Excel (DOCX, PPTX, XLSX): the text is pulled from the file contents directly.
  • Text formats (TXT, RTF, CSV, MD): the text is read as is, with RTF formatting codes removed.

See supported formats for limits and tips.

Step 2: the document type is detected

DocMind AI places each document into one of eight categories: Insurance, Loan/Bank, Medical, Legal/Court, Government/Tax, Contract, Education or Other. The category decides the icon on your dashboard and helps the explanation focus on what matters for that kind of document. The document types guide explains what is looked for in each category.

Step 3: a structured explanation is written

The AI model is asked to return a fixed structure for every document, written in the reading mode and language you chose:

  • Title and summary: a short human title and a 3 to 5 sentence summary.
  • Risk level: Low, Medium or High, with each risk listed and explained.
  • Key points: label and value pairs such as premium, tenure or notice period.
  • Entities: dates, names, amounts, deadlines and conditions found in the text.
  • Action steps: an ordered list of what you should do next.
  • Deadlines: dated items, also collected on your dashboard.
  • Missing documents: papers that appear to be required but are not included.
  • Signature status: signed, unsigned, partially signed or unknown.
  • Exclusions: things the document explicitly does not cover.

The model is instructed not to invent facts that the document does not support, and to leave a field empty when the information is not there. For medical documents, the summary always includes a note that the explanation is not medical advice.

If the AI service is busy or unavailable, DocMind AI still returns a quick automatic preview based on keywords in the file, and marks the document as a preview. Upload the file again later for the full explanation.

Step 4: chat with the document

Every analysis page has an "Ask this document" panel. Your question is answered using only the document's text and summary. If the answer is not in the document, DocMind AI is instructed to say so honestly. Answers come back in the language you picked at upload. The conversation is saved with the document, so it is still there when you come back during the same session.

Reading modes

The same document can be explained four ways. Simple uses very easy language. Student adds the reason behind important clauses. Professional gives a detailed, structured business explanation. Expert keeps full technical and legal depth. You choose the mode on the upload page.

Your dashboard

The My documents page lists everything uploaded in your session, with totals for documents, deadlines, flagged risks and action items, and a combined list of upcoming deadlines. Documents are linked to your browser session, so no account is needed. Read the privacy page for how files are stored and deleted.
