Every accepted format, and how it is read

Format groupExtensionsHow DocMind AI reads it
PDF documents
.pdf
Text is extracted where the PDF has a text layer. The PDF is also passed to the AI model, so scanned PDFs without a text layer can still be read.
Office files
.docx.pptx.xlsx
Text is pulled directly from Word documents, PowerPoint slides and Excel sheets.
Photos and scans
.jpg.jpeg.png.webp.gif.heic.heif
The image is passed to the AI model, which reads the printed or typed text in the photo.
Text formats
.txt.rtf.csv.md
Read as plain text. RTF formatting codes are removed before analysis.
Older Word files
.doc
Accepted, but text extraction from the old binary .doc format is limited. Save the file as DOCX or PDF for the best result.

Limits that apply to every upload

  • Each file can be up to 15 MB.
  • You can add up to 10 files in one upload. They are analyzed one after another so you see each result as it is ready.
  • Very large PDFs and images are stored, but only files up to about 7 MB are passed to the AI model as a whole. For larger scans, split the PDF or reduce the photo resolution.
  • Long documents are analyzed from the first part of the extracted text. For very long contracts, upload the sections you care about separately for more detail.
  • Files with other extensions are skipped, and the upload page tells you which ones.

Tips for photos of paper documents

  • Lay the page flat in good, even light and avoid shadows across the text.
  • Fill the frame with the page and keep the camera parallel to it.
  • Take one photo per page. Add all pages in the same upload so you get one result per page.
  • HEIC photos from iPhones are accepted, so there is no need to convert them first.

Which format gives the best result?

A digital PDF or DOCX file gives the most reliable result, because the text can be read exactly. A clear photo works well for one or two page letters and notices. Older .doc files and blurry photos give weaker results, and the explanation may be incomplete. The AI model is instructed not to invent facts that the document does not support.
